Questions we get asked.

Including the ones with awkward answers. If yours is not here, ask us directly.

What exactly do I get when I register?

Three things. A public website for your property where guests book rooms and order food, on a Rooms24 subdomain until you point your own domain at it. An admin panel where your staff run rooms, rates, reservations, folios, menus, inventory, payroll and reports. And, once you opt in, a listing on the map in the Rooms24 app. All three read the same records, so a booking taken on your site is the one your front desk sees.

How does a booking on my own website reach my front desk?

It is the same record. Your site reads live availability and rate plans out of your own database, and a completed booking is written straight back to it — the reservation your staff see is the one the guest made, not a copy synced across from somewhere else. That is also why a room sold at the desk disappears from the site immediately.

What does a database per property actually mean for me?

Your property gets its own PostgreSQL database, created when your registration is approved. Nobody else's data is in it, so a mistake in our code cannot show your guest list to another hotel. It also means your data can be exported or deleted as one unit rather than picked out of shared tables.

What can my staff see, and can I control it?

Yes, and it is the point of the roles module. Every route in the system denies by default and every permission is named, so you decide whether a receptionist can void a charge or open a till. Each staff member gets their own account — sharing one breaks both the audit trail and the staff count on your plan.

Which payment methods can I use?

Cards anywhere in the world through Stripe, for overseas guests, corporate accounts and your own subscription. Plus local methods in the markets we support them — eSewa, Khalti and Fonepay in Nepal today, with more added as properties ask for them. Each provider is switched on per property, and guest payments taken at the desk are recorded against the folio whatever the method, including cash.

Can I use my own domain?

Yes, on the Pro plan. You add a DNS record we give you, we check it, and a certificate is issued automatically once it verifies. Free and Starter properties run on a Rooms24 subdomain.

What is the mobile app, and is it my app?

It is ours, not yours. Rooms24 is a traveller-facing app: people open it, see properties on a map near them or in a place they are heading, and book. Your property appears in it once you opt in, which is a channel you do not have to build. It is not a staff app for running your front desk — that is the admin panel, which works in a phone browser.

Can guests message the property directly?

Yes. Live chat runs on your website and in the app, threaded per stay so whoever is on shift picks up where the last person left off rather than a number saved on one manager's phone. Messages are recorded against the stay, so something agreed at midnight is on the folio at checkout.

What can the AI assistant actually do?

It is agentic rather than a scripted chatbot: it reads your live inventory and rate plans and writes a real reservation or food order. Because it takes actions, the constraints matter more than the conversation. Nothing is written until the guest has confirmed dates, occupancy and the total price. Every action is attributed in the same audit trail as a staff member's and is reversible from the desk. It hands over to a person on request or as soon as it is unsure. And it is off by default, scoped per property to the actions you allow it.

Do I have to be on the travel sites as well?

That is your call and nothing here stops you — channel sync pushes your availability and rates out to them and pulls their bookings back in. The reason to have your own bookable site as well is margin: a guest who books directly costs you no commission, and you keep the relationship for next season.

What happens if I outgrow my plan mid-month?

Nothing breaks. You will be told which limit you are against and can move up when you are ready. We do not delete rooms or reservations because a count went over.

What happens to my data if I downgrade or leave?

Records already written are kept. A shorter audit-retention window on a lower plan applies to what comes next, never to history you have already accumulated. If you close the account you can request an export of your database.

Do you support more than one property on one account?

One account belongs to one property today. If you run a group, talk to us. The platform already places tenants across database clusters, so multi-property is a question of billing and access rather than of architecture.

How long does onboarding take?

Registration takes a few minutes. Verification depends on how quickly your documents check out, usually the same working day. Provisioning is automatic once approved, and most properties have rooms and rates entered the same day.

Still unsure

We would rather answer a hard question now than have a property sign up expecting something we do not do yet.
